Description of Responsibilities:

The Special Collections Assistant initiates, coordinates and implements a variety of duties in support of the operations and collections of the Special Collections and Archives Department at State University of New York at Oswego’s Penfield Library.

The Special Collections Assistant works closely with the Special Collections Librarian in a wide range of management activities.  A major component of this position will include accessioning, arrangement of, organization, and description of archival collections containing manuscripts, photographs, and other materials using PastPerfect. The Assistant makes recommendations on operational and procedural processes; participates in determining goals with the Special Collections Librarian; oversees project coordination and provides project directions and/or assistance to support staff, student assistants, and volunteers; while maintaining professionalism, confidentiality, proper archival practices, and concern for access.

Components of this position include collaborating with the Special Collections Librarian to develop outreach efforts through instructional presentations, displays and exhibits, and the Oswego Digital Library institutional repository; assisting students and researchers with long and short term research projects which include reference services via phone, email, mail and in-person. Attendance at conferences and workshops/webinars encouraged.

This position is 18.75 hours/week between the hours of 8am-4:30pm Monday through Friday, exact schedule to be negotiated.

In addition, this position will be expected to display a demonstrated potential for excellence in librarianship, scholarship and service; commitment to undergraduate and graduate education, and possess communication and interpersonal skills sufficient to work effectively with an increasingly diverse array of students and colleagues.

Required Qualifications:

  • Master’s degree in History, Museum Studies, Library/Information Science, or related area by time of appointment
  • 2 or more years of experience in archives or special collections
  • Experience using a museum or archives database
  • Ability to lift at least 25 pounds
  • Detail-oriented
  • Ability to work both independently and collaboratively with colleagues
  • Excellent written and oral communication skills

Preferred Qualifications:

  • Experience with PastPerfect, Excel and scanning images
